Navigating mediation on Zoom: A quick guide

In today's digital age, virtual platforms like Zoom have become indispensable tools for conducting various activities, including mediation. Although in-person mediation is ideal there are many reasons why mediation over Zoom can be the ideal choice.

  • Saving time with no travel involved

  • Disputing parties not wanting to share a physical environment

  • Costs can be minimised as room hire expenses can be avoided.


If you're considering mediation on Zoom, here's a short guide to help you navigate the process effectively. The mediator will be familiar with the process and on hand to help but mediators are not an IT helpdesk so it is important all parties take responsibility for their own IT!

A guide to effective mediation via zoom


Preparation is Key:

All parties will require access to a stable internet connection and the necessary technology (computer, webcam, microphone). It is helpful if all parties familiarise themselves with Zoom's features, such as screen sharing, breakout rooms, and chat, to facilitate smooth communication during the mediation session.


Scheduling and Invitations:

The mediator will coordinate with all parties to find a mutually convenient date and time for the mediation session. Zoom meeting invitations should be sent well in advance, including clear instructions on how to join the virtual session.


Suitable Environment:

All parties should set up for the mediation session in a quiet space without distractions. There should be good lighting, and a clear background creating as professional an environment as possible.

Establish Ground Rules:

At the beginning of the session, the mediator will set out ground rules for communication and behaviour, emphasising respect, confidentiality, and participation.

All participants will be encouraged to mute their microphones when not speaking to minimise background noise and distractions.

Utilise Breakout Rooms:

Each party will be allocated a breakout room for private discussions with the mediator and/or their representatives and advisers. Mediators can move between breakout rooms to facilitate discussions and provide guidance as needed.

Effective Communication:

Open and respectful communication will be encouraged among all parties, emphasising active listening and constructive dialogue. Zoom's chat feature can be used for non-verbal communication or to share relevant documents, links, or information during the session.

Document Agreements:

As per in person mediation, agreements or resolutions reached during the mediation session will be documented. This will ensure clarity and consensus among all parties. The mediator will follow up with a summary after the session to formalise outcomes and ensure accountability.
